FAQ for Print Management System

Q and A for Print Management System
 
1)  Pop up box never pop up
 
        a) Some of the computers take a little longer for pop up
                 box to pop up. 
        b) Each computer default to signed release station. 
                 If a signed release station is not working,
                 the pop up box won’t pop up.  If this is the case
                 at first pop up box, choose different release station.
        c) Check the release station. If the release station is
                 frozen, please inform the library staff.
 
2) My print job never showed up at the release station indicated on the pop-up
 
Check other release station nearby.
 
           There are 5 release stations in the library:
 
                Release station 1 and 2 are located at the entrance
                Release station 3 and 4 are located by PC Help Desk
            Release station 5 is located in Main 2 area
 
      Computer LREF-001 to LREF-018 send the print job to
            release station 1
      Computer LREF-019 to LREF-036 send the print job to
            release station 2
      Computer LREF-037 to LREF-066 send the print job to
            release station 3
      Computer LREF-045-LREF-046, and LREF-067 to LREF-088
            send the print job to release station 4
      Computer LREF-089 to LREF-119 send the print job to
            release station 5
 
      Each computer will have ability to send the print job to two
            release station.  For example, LREF-001 has a default
            release station 1.  It can also send the print job to release
            station 2.
 
      Each release station can print to two printers.  If one printer is
            down, the print job will automatically be sent to another
            printer.  Release station 5 can send the print job to
            printer 5 and printer 4.
  
3)    If you print from WebCT,the pop-up box appears BEHIND WebCT so you may think nothing has happened. IF you minimize the WebCT screen, you can see the pop-up.
 
     If you don’t see the pop up box, check the bottom bar.  There is an icon for VendPrint,
     click the icon, and pop up box will come to front.
 
4)    If the user keeps the Job Name as it appears in default, "http://.... then the job will not print.
 
     The job title must be renamed, otherwise the job won’t be printed.
 
5)    If the caps lock is on at the user or release station, the user gets confused and their password does not work.
 
     Password is case sensitive. Please use the password created at the computer.
 
6)    Often the printer # differs between: what shows in pull down (printer pop-up), the message Go to..., the Printer Selection, and WHERE the final print comes out.  This confuses the user, when they try to go to a release station AND then which printer they check.  If one printer is busy, does the job go to the next printer?
 
     Each release station will have ability to print to another printer.  For example,
     if printer 1 is out of service, all print jobs from release station 1 will go to print 2. 
     Release station 5 should also print to printer 4 which is a backup printer for
     printer 5.  OIT will add printer 4 to release station soon. 
 
7)    Many are naming jobs as "doc 1" for example, so they have to try a number of names before they find their own.
 
    A print job can be identified by two elements:
 
1. Name
2. Computer number.  
   The computer number is on left top of the monitor.  The information also is on
    the instruction sheet.
 
 
8)    Some use their WebAdvisor password to try and release their job.
 
   A student can create or use any password they wish.  Please refer the student to
   the instruction sheet, or staff can explain to them how the system is working.
 
9)    When an individual workstation does not show a pop-up after numerous tries, please reboot the workstation.
 
       Save your document to a USB or “My documents” folder before reboot the computer.
 
10)     How do we print double sided for .pdf documents?
 
    Two ways to print duplex for a PDF file:
 
a.     Click printer icon in PDF file
Click “Properties” in popup box
Choose “Two-sided (Dulex) printing”
Click “OK” (This will bring you back to print popup box”
Click ”OK” in print popup box
Wait for Print Management popup box
Follow the print management procedure
 
b.     Click “File”
Click “Print”
Click “Preferences”
Choose “Two-sided (Duplex) printing”
Click “OK”
Click “print”
Follow the print management procedure
 
                   For Microsoft office products, follow the procedure #2
 
11)    How to print PDF multiple pages per sheet
 
Two ways to print PDF multiple pages per sheet:
 
1.     Click Adobe printer icon
2.     In the box, click “Page Scaling” dropdown button
3.     Choose “Multiple Pages Per Sheets
4.     Go to “Pages Per Sheet” choose pages you want on per sheet: 2, 4, 6, 9, 16, or custom
 
Some of the PDF documents are PowerPoint slides that have been converted. Yesterday, I had four students who needed to print these but did not want to print the 124 pages individually. You can print double-sided and save additional paper by printing more than one page per sheet. To print these documents in a manner similar to PowerPoint handouts:
 
1.     Open the Print dialog box
2.     Select Properties
3.     Select the Layout tab
4.     Click on the Pages per Sheet dropdown box
a.     Four or six pages per sheet works well for most slides and are easy to read.
 
12)     Sometimes it tells the job is coming out of Release Station #x, when in fact you have to
        look at the other Release Station nearby.
 
Student can choose different release station.  Sometime student didn’t realize that the different release station was chosen.  If the print job can’t be found on the release station, please check other close release station.
 
 
13)   If a student needs to reboot the machine, assume they would need to save their document
       first.  Can they easily save it to the desktop before rebooting?
 
The document can be saved to “My documents” folder.  After reboot the computer, the document can be retrieved.  Make sure to delete the file in “My documents” folder.
